E-commerce Operations & Execution Lead

The Company & The Challenge

My Moissanite is a fast-growing, premium e-commerce jewelry brand with a deliberately lean setup. We operate from a beautiful office in Recoletos, Madrid, with two balconies overlooking the Palacio de Cibeles.

Our team is small: the founder, a full-time developer, and a handful of part-time freelancers. But we punch well above our weight class by leaning heavily on automation, AI, and smart combinations of the two.

Here's the reality though: our growth is starting to outpace our operational structure. Too much of the daily engine still lives in the founder's head, and too much execution still lives in chat threads, memory, and loose follow-ups. We need a high-agency Operations & Execution Lead who thrives in a fast-moving, slightly messy environment and can build bulletproof systems without slowing us down.

This is not a pure operations, customer support, or admin role. Yes, you'll own the day-to-day operational flow. But once that's under control, a meaningful part of your role is making sure work across the business is clearly tracked, prioritized, followed through, and continuously improved.

What You'll Actually Do

This isn't a job for someone who wants to stay in a narrow lane. You'll take end-to-end ownership of our daily operations while installing the execution discipline the company currently lacks:

  • The Day-to-Day Engine: Handle manual customer support escalations, supplier communication and order follow-up, order packing and fulfillment, and routine operational admin.
  • Logistics & Supply Chain: Oversee customs, pickups, shipping exceptions, and returns, while keeping suppliers accountable and moving at our pace.
  • Execution Management: Establish one shared system for all active operational and cross-functional work. Projects, tasks, bugs, follow-ups, and priorities should no longer live scattered across chat threads or loose notes, but sit in a single source of truth the entire team can access, update, and rely on.
  • Weekly Cadence & Visibility: Run weekly planning, review, and reporting so owners, deadlines, blockers, overdue items, and next steps are always visible.
  • System Building: Create the SOPs, checklists, workflows, and cleaner operating rhythms needed to turn recurring chaos into reliable routine.
  • Office & Stock Organization: Improve stockkeeping and physical organization so packaging materials, operational essentials, and inventory are easy to find, track, and manage.

What Success Looks Like in 90 Days

If you're the right fit, problems will get solved before they become drama. Within your first two to three months, you will have:

  • Completely removed the founder from routine operational work.
  • Built one clear system for active tasks, bugs, projects, and operational follow-up, with owners, deadlines, and next steps.
  • Established a reliable weekly planning and reporting cadence, so it's obvious what's blocked, late, at risk, or up next.
  • Documented the core workflows the business needs to run smoothly, and made the office and stockkeeping setup materially more organized and usable.

What You Bring to the Table

  • The Experience: 3 to 6 years of hands-on experience in e-commerce operations, DTC logistics, customer operations, or a similar fast-moving startup environment, plus real experience creating, running, or materially improving a task, project, or execution system within a small team.
  • The Languages: Fluent in both English and Spanish.
  • The Tech Fluency: You're fully comfortable navigating CRMs, helpdesk software, task systems, spreadsheets, automation concepts, and APIs.
  • The Mindset: You bring strong ownership, a perfectionist's eye for detail, and a high standard for doing things properly. You don't wait to be told what to fix, and you're comfortable pushing work forward across other people when needed.
  • Bonus Points If You Have:
    • (Project) management experience
    • Worked in jewelry or other luxury goods markets
    • Experience in supplier coordination
    • Experience working directly with CEO's, founders, or developers
    • A strong instinct for process design
    • Lived and worked in Madrid for most of your career
